Edit in Passes, Not All at Once

An editing method: run separate, single-purpose passes — structure, then clarity, then line-level polish — instead of asking ChatGPT to 'improve this' in one shot.

'Improve this' forces the model to trade off competing goals at once (cut length vs. add detail, formal vs. punchy), so it makes muddy compromises. One goal per pass gives it a clear objective, and lets you approve each change before the next — you keep control of the voice.

Anything that matters and will be read by someone: an important email, an article, a proposal. The more the wording counts, the more passes earn their keep.

Quick internal notes where 'good enough' is genuinely enough. Multi-pass editing on a throwaway Slack message is wasted effort.

Pass 1 — structure: "Don't change wording yet. Is the order of ideas right? Suggest a better structure if so."
Pass 2 — clarity: "Now rewrite for clarity. Keep my voice; cut anything that doesn't earn its place."
Pass 3 — polish: "Final proof: fix grammar and rhythm only. Don't add or remove ideas."

Editing a cover letter, the structure pass moves your strongest point to the top, the clarity pass cuts 30% of the words, and the polish pass fixes two clumsy sentences — a better result than one 'make this great' that would have flattened your tone.

Before pass 1, ask ChatGPT to name the piece's single goal and audience, then hold it to that: 'critique only against that goal.' This stops generic 'improvements' that make the writing worse for its actual purpose.

• Asking for everything at once and getting a bland, over-smoothed rewrite.
• Letting it rewrite in its own voice instead of preserving yours — always say 'keep my voice'.
• Skipping the structure pass, so you polish sentences that shouldn't be in that order anyway.
